Start with why you want to leave

A replacement should remove a specific problem. “We need something simpler” is a useful starting point, but it is too vague to evaluate in a trial. Write down the moment your current setup gets in the way: assigning a new enquiry, remembering a follow-up, finding a proposal, or seeing which deals need attention.

Then separate three possible causes. You may have chosen the wrong plan, configured the right tool poorly, or outgrown the product’s approach. Switching only helps the third problem reliably. For the first two, compare a smaller subscription or a cleanup of your existing setup against the work of migrating.

Pipedrive: evaluate the daily sales routine

Pipedrive’s pipeline documentation describes visual deal stages and activities. That makes it a sensible candidate when your team knows its sales process but does not consistently act on it.

Build a trial pipeline around real stages such as enquiry, discovery booked, proposal sent, and decision. Every open deal should have an owner and a next activity. Ask a colleague to find tomorrow’s most important follow-ups without help. The useful outcome is a clearer working day, not an impressive dashboard.

Investigate the work outside the pipeline too. If proposals, support history, or marketing attribution live in other tools, check the integration and the extra subscriptions involved. A focused CRM can still create an expensive collection of disconnected tools.

Zoho CRM: evaluate flexibility and ownership together

The Zoho edition matrix is more useful than a broad feature headline because capabilities vary by edition. Map required fields, workflow rules, and permissions to the exact edition you intend to buy.

Configuration is valuable when it reflects a process your team actually follows. It becomes a burden when every exception creates a new field or automation. Choose an internal owner and write a short definition for each sales stage before the trial. Then test whether another team member can understand a record without asking its creator.

Brevo: evaluate communication and sales separately

Brevo’s sales platform sits alongside its broader customer communication tools. Consider it when campaigns and follow-up are closely connected in your business.

Do not assume that having contacts and deals means it replaces every CRM workflow. Write down the reporting, permissions, task management, and integration behavior you need. For example, check whether a campaign interaction creates a useful follow-up for the right person, rather than simply another notification.

If your primary problem is complex sales forecasting, a communication-led shortlist may be the wrong place to start. Conversely, paying for a highly configurable sales system is difficult to justify if your actual routine is sending a newsletter and checking in with a handful of prospects.

Run a contained migration rehearsal

Before moving the full database, use a small set of representative records with no unnecessary sensitive data. Include one company with several contacts, a closed deal, an active opportunity, and a record that must not receive marketing messages.

  1. Export your existing field list and decide what each field means.
  2. Import the sample and inspect relationships, owners, notes, and dates.
  3. Recreate one essential workflow from enquiry to next action.
  4. Check duplicate handling and whether communication preferences survive.
  5. Export the sample from the new tool to understand your future exit path.

When staying is the better decision

Stay long enough to fix the configuration if the essential workflows already work and the friction comes from inconsistent data or unused fields. Replace the system when the way it expects your team to work conflicts with a process you can describe and test.

The best alternative is the one that earns its place in an ordinary working week. Make the trial produce a repeatable routine before you commit to the annual contract.
