The useful question is not which tool can show available times. It is which one fits the sequence around that time: qualifying a lead, collecting information, assigning a team member, taking payment, and helping the client return.

Our starting distinction comes from the vendors’ documented emphasis. Calendly describes meeting coordination, calendar connections, team routing, and distribution. Acuity describes appointment operations including intake, client profiles, packages, classes, and payments. These capabilities can overlap, so treat the distinction as a way to organize a trial rather than an absolute rule.

Compare the workflow, step by step

When Calendly belongs on your shortlist

Consider Calendly when the booked event is mainly a conversation and the problem is coordination. Examples include discovery calls, customer onboarding meetings, and sales appointments distributed across several people.

Test the handoff as carefully as the booking link. Once the visitor books, the right person should know why the meeting exists and what to do next. If you use a CRM, inspect the created or updated record and watch for duplicates. Check the exact plan for routing, integration, and multi-person requirements rather than assuming a product-level feature is universally included.

If you are a solo operator offering one kind of introductory call, keep the setup proportionate. The simplest working configuration may be more useful than a routing system built for a larger sales team.

When Acuity belongs on your shortlist

Consider Acuity when the appointment is the service you sell, or is closely connected to it. A consultation with intake, a repeat session booked from a package, or a class has needs that extend beyond meeting coordination.

During evaluation, follow an ordinary client and an exception. The ordinary client books and attends. The exception reschedules, changes staff member, or uses a prepaid package. Check the resulting client record and notifications in both cases.

Acuity’s feature page flags several capabilities as plan-dependent. Confirm what your desired plan includes, how many calendars you need, which payment processors work for your business, and any separate transaction charges. This guide does not provide a current vendor quote.

The costs that deserve a separate line

Your monthly comparison should include the required subscription, staff calendars or seats, paid integrations, payment processing, and the time spent fixing booking exceptions. Keep optional capabilities out of the baseline so that you can see what you truly need.
